ASSITEJ South Africa is a relatively new organisation (founded in 2007) and is a network of theatre companies, organisations and individuals working in the field. As part of a vibrant international network of more than 80 national centres, there is a great deal of opportunity and scope for individuals who want to make a positive difference in the lives of South African children, young people and the artists who work with them. Post: Finance and Operations ManagerPeriod: 1-year contractDate of job commencement: 1st January 2012Offices: Cape Town ASSITEJ SA (Theatre for Children and Young People) is looking for an experienced Finance and Operations Manager, with a deep passion for, and commitment to, children and theatre in South Africa. Key performance areas:- To support the Director by managing ASSITEJ’s projects, services and sustainability.- To co-create and implement a strategically planned project programme for ASSITEJ SA in collaboration with the Director and Marketing manager- To design and maintain office operational systems, processes and policies.- To create a format for and maintain ASSITEJ SA records and reports of all projects.- To manage the operational budget and ensure the successful delivery of all projects within budget. Key Responsibilities:- Designing and maintaining operational systems, processes and policies- Consulting, planning and designing the overall operations programme, together with the Director and the ASSITEJ SA management team- Implementing and managing all aspects of the operations programme. – Monitoring and evaluating the operations programme.- Collating all data into annual and bi annual summaries.- Updating the website- Supporting Project Managers with logistical arrangements- Payroll management- Managing, coordinating and analysing operational budget constraints and resources- Invoicing funding sources- Supervising and coaching Office Administrator Job Competency (Knowledge, Skills and Experience) Requirements:- Tertiary qualification in Business Management- Experience in monitoring and evaluation, fundraising, donor reporting, budgeting, resource mobilization, human resources and financial management- Excellent verbal and written communication skills in English- Strong interpersonal skills- High level of computer literacy in Microsoft Office especially Word, Excel and Powerpoint- Resident in Cape Town (or willing to relocate) Experience Required:Minimum 3- 5yrs current experience within Project and Business Management in the arts and/or social development sectors Personal Attributes:- An energetic and enthusiastic individual with proven leadership skills and the ability to work interdependently.- Passionate about working in the NGO sector and making a difference in society.- Organised & proactive with exceptional problem solving and analysis skills.- Unquestioned personal integrity.- Above average presentation skills.- Must be able to pass criminal background checks and credit reference.- A second South African language would be an advantage. Key performance areas:- Marketing ASSITEJ SA as a National Brand- Marketing all projects and events.- Designing and implementing a fundraising plan- Managing all fundraising activities and events- Actively seeking new funding and donorship Key Responsibilities:- To contribute to sustainability initiatives including: identifying new funders (local and international), writing project proposals, drawing up estimate costs and budgets, reporting back to funders, identifying new fundraising opportunities and managing donor relationships.- Focus on generating support from individuals and organisations: that will donate to the organisation on an annualised basis and that will donate on a monthly basis.- To actively seek recruitment of new supporters (acquisition) through existing and new channels: e.g. www.theatre4youth.co.za- Retention of those organisations that already support ASSITEJ SA- Managing donor relationships. Job Competency: (Skills, knowledge and experience) Requirements:- A degree in Marketing and/or Public Relations.- Be qualified, conversant and creative in using multiple marketing channels like TV appeals, paper based mailshots, inserts, newsletters, e-marketing and all forms of digital marketing and utilising new media tools such as social media and the internet to promote ASSITEJ’s message and gain continued support.- Be able to track fundraising efforts, and provide data and analysis regarding the efficacy of campaigns and proposals.- Resident in Cape Town (or willing to relocate) Experience:A minimum of 3-5 years experience and a proven track record of success in fundraising. Key performance areas:- Project managing ASSITEJ’s web-based interactive theatre and education catalogue – www.theatre4youth.co.za – its services and sustainability.- Designing and implementing a strategically planned project rollout for www.theatre4youth by carrying out research, communicating, and lobbying to engage government departments, schools, libraries, ECD centres, NGOs, theatre companies, theatre practitioners and funders across all nine provinces.- Creating a format for and maintaining monthly detailed records and reports of the project.- Managing the budget and ensuring the successful delivery of the project within budget and deadlines set.- Managing the national team of project coordinators in rolling out specific activities designed to create synergies between theatre and education. Key Responsibilities:- Designing, managing and delivering strategic operational project roadmap- Monitoring and Evaluation – Collating all data into annual and bi-annual reports- Populating and updating the website database with the schools and theatre companies representative of all provinces and producing and distributing the print version of the catalogue.- Recruiting, inducting, managing and training a national team of assistant project coordinators, workshop leaders and researcher, and managing the relationship with the website development company, to fulfil the aims and objectives of the project;- Supporting national project coordinators with all logistical arrangements pertaining to training workshops.
